From Spreadsheet to Kandid.pro: Start Simple, Go Further at Your Own Pace

The Application List works exactly like the spreadsheet you already know — inline editing, sorting, filtering. Start managing your job search from day one, then explore AI document generation, interview prep, and analytics when you are ready.

From Spreadsheet to Kandid.pro: Start Simple, Go Further at Your Own Pace

Switching tools mid-job-search feels risky. You have a system that works — sort of — and the last thing you want is to lose momentum learning something new. That fear keeps a lot of people stuck in spreadsheets long after the spreadsheet has stopped helping them.

Kandid.pro is designed around a simple principle: start with what you already know, and expand when you're ready. The Application List is a table view that works exactly like the spreadsheet you're used to. You can manage your entire job search from it on day one — no tutorials, no onboarding videos, no learning curve.

The advanced features are there when you want them. They're never in the way when you don't.

The Application List: Your Spreadsheet, But Better

If you've been tracking your job search in a spreadsheet, the Application List will feel instantly familiar. It's a table. Rows are applications. Columns are fields. You click a cell, you edit it.

What you get out of the box

  • Rows and columns — Company, role, status, location, date applied, salary, priority, job URL, and source. The same information you've been tracking, laid out the same way.
  • Inline editing — Click any cell to edit it directly. Change a status, toggle priority, star an application, or update a sub-status — all without leaving the table. Changes save instantly with optimistic updates, so there's no lag and no save button.
  • Quick-add row — A sticky row at the bottom of the table lets you add new applications in seconds. Type a company name (with search-as-you-type), enter the role and job URL, and hit enter. It's faster than adding a row in a spreadsheet because the company lookup fills in details for you.
  • Sorting — Click any column header to sort ascending or descending. Sort by date applied to see your most recent activity. Sort by status to group your pipeline. Sort by company to find a specific application.
  • Filtering — Narrow your view by status, priority, date range, location, or any combination. See only your active interviews. See only the roles you applied to this week. The filters work together, so you can be as specific as you need.
  • Notes at a glance — Every row shows a notes icon — amber when notes exist, grey when empty. Click it to open the floating notes panel without navigating away from the table.
  • Export anytime — Need your data back in a spreadsheet? Export your filtered view as CSV or Excel (.xlsx) from the dropdown on the Applications page. Your data is never locked in.

This isn't a simplified view or a beginner mode. The Application List is a first-class interface for managing your search. Plenty of users work from it exclusively, especially during the early weeks.

Why It's Already Better Than a Spreadsheet

Even before you touch a single advanced feature, the Application List gives you things your spreadsheet can't.

Structured data from the start

In a spreadsheet, "status" is whatever you type. One row says "Applied", another says "applied", a third says "Sent". They're all different strings. Kandid.pro uses a defined pipeline — Draft, Applied, Shortlisted, Interviewing, Offer, Hired, Rejected, Ghosted, Withdrawn — so your data is consistent from the first entry. That consistency is what makes filtering, sorting, and analytics work properly.

Everything is connected

When you click into an application row, you open the full Application View — a dedicated page for that role with tabs for documents, interview prep, contacts, matching, and outcomes. Your spreadsheet row is a dead end. A Kandid.pro application is a doorway into everything related to that opportunity.

You don't have to use any of those tabs yet. But they're there, populated and ready, whenever you decide to explore.

Nothing gets lost

Every change you make is tracked. Status updates are timestamped. The Application Timeline records when you applied, when you had an interview, when you followed up. Your spreadsheet shows you the current state. Kandid.pro shows you the current state plus the full history of how you got there.

Kandid.pro Meets You Where You Are

Kandid.pro is built to ease the transition, not force it. Several features are specifically designed to help you find your feet without feeling overwhelmed.

Context-based tips

As you navigate the app, inline banners appear with relevant suggestions based on what you're doing. An empty Applications page? You'll see a prompt to import your spreadsheet or install the browser extension. Viewing a new application? A tip suggests adding the job description to unlock skills matching. These tips surface the right feature at the right moment — you don't need to read documentation or hunt through menus.

Tip of the Day

The help button cycles through daily feature tips, introducing one capability at a time. Each tip is a short, practical pointer — not a tutorial. Over the course of a few weeks, you'll naturally discover features you didn't know existed, without any pressure to act on them immediately.

Browser extension with auto-analyse control

The Chrome and Edge extension captures job listings from LinkedIn, Indeed, and Seek directly into your pipeline. By default, imported jobs run through the AI analysis pipeline for skills matching and insights. But if you're just getting started and want to keep things simple, you can toggle off auto-analysis in your settings. Jobs still get captured — they just skip the AI step until you're ready for it.

Install as a desktop app

If you prefer a dedicated window rather than a browser tab, Kandid.pro can be installed as a Progressive Web App. When your browser supports it, an "Install Desktop App" option appears in the navigation. One click and Kandid lives in your taskbar like any other application.

Going Further — At Your Own Pace

There's no switch to flip and no course to complete. Each feature below is something you can start using whenever it becomes relevant to your search. Pick one, try it, and come back for the next one when you're ready.

Pipeline View

Switch from the table to a Kanban-style board. Each column is a pipeline stage. Each card is an application — with the same notes icon you see in the table. Drag cards between columns as things progress. It gives you spatial awareness of your entire search — you can see at a glance that you have ten applications in "Applied" and nothing in "Interviewing", which tells you something important about where your search is stalling.

You can switch between the Application List and Pipeline View freely. Use the table for data entry and the pipeline for your daily review. They show the same data, just arranged differently.

Skills Matching

When you add a job description to an application, Kandid.pro analyses it against your career profile and gives you a match score. You can see which skills the role requires that you already have, and which ones are gaps. This takes 30 seconds and immediately tells you whether a role is worth pursuing — before you spend an hour tailoring your resume.

AI Document Generation

This is where Kandid.pro saves the most time. From any application, you can generate a tailored resume, cover letter, and interview prep study sheet — all optimised for ATS systems. The AI uses your career profile and the job description to produce documents that are specific to the role — not generic templates. The whole process takes just a few minutes.

You don't need to use this for every application. Try it on one, compare the result to what you'd write manually, and decide if it works for you.

Interview Preparation

When you land an interview, each application has a dedicated prep section. Kandid.pro generates predicted questions based on the role and your background, helps you structure STAR answers, and keeps everything organised by interview round. No more digging through scattered notes or trying to remember which company asked which question.

Contact Tracking

Replace the "Recruiter" column in your spreadsheet with proper contact records. Each contact is linked to the applications they're associated with, and you can log every interaction — emails, calls, meetings — with notes and follow-up dates. When a recruiter reaches out about a new role three months later, you can see the entire relationship history.

Analytics

After a few weeks, your dashboard starts showing patterns. Conversion rates by pipeline stage. Application volume over time. Which sources produce the most interviews. This is data that's nearly impossible to extract from a spreadsheet, and it directly improves your strategy — you can see where your search is working and where it's breaking down.

A Natural Progression

Most people who switch from a spreadsheet to Kandid.pro follow a similar path:

First few days — Work entirely in the Application List. Use the quick-add row to enter new applications. Update statuses and priorities inline. If you've imported your existing spreadsheet, your data is already there. Pay attention to the context-based tips — they'll point you towards useful next steps without requiring you to go looking.

First week — Try the Pipeline View for your morning review. Keep using the Application List for adding new applications. Click into an application or two to see what's inside the Application View. Install the browser extension to start capturing jobs directly from LinkedIn, Indeed, or Seek.

Second week — Add a job description to an application and check the match score. If you're preparing for an interview, try the interview prep tab. The Tip of the Day will have introduced a few features by now — try one that caught your attention.

Third week — Generate a tailored resume for one application. Compare it to what you'd have written yourself.

Ongoing — Gradually use more features as they become relevant. There's no deadline and no pressure. Every feature you add makes your search more effective, but none of them are mandatory.

You Don't Have to Learn Everything at Once

The biggest barrier to switching tools is the fear that you'll spend more time learning the tool than actually job searching. Kandid.pro eliminates that barrier by making the starting point identical to what you already know — a table of applications that you can sort, filter, and edit inline.

Everything beyond the table is there to make your search more effective, more organised, and less stressful. But you explore it on your terms, at your pace, when it's useful to you.

Start with the spreadsheet experience you're comfortable with. Let the rest come naturally.

Kandid.pro meets you where you are — a familiar table view to start, with AI-powered document generation, interview prep, and career analytics ready when you need them.
