How It Works
The import is a guided 4-step process. Open the Applications page and click the Import button.
Step 1: Upload Your File
Drag or select your CSV or Excel file. Kandid.pro reads the first sheet and detects your column headers automatically.
Step 2: Map Your Columns
Kandid.pro auto-matches your spreadsheet columns to its fields using common header names. For example, a column called "Company Name", "Employer", or "Organization" will automatically map to Company. You can review and adjust every mapping before proceeding.
Required fields (must be mapped to continue):
- Company — detected from headers like: Company, Company Name, Employer, Organization
- Role / Job Title — detected from: Role, Title, Job Title, Position

Any columns that don't match a Kandid.pro field are set to Skip by default — your data is never lost, just ignored for that column.
Step 3: Preview and Validate
Before anything is imported, Kandid.pro validates every row and shows you a summary:
- Ready — rows that will import cleanly
- Warnings — rows with values that were auto-corrected (e.g. "Interviewing" normalised to "Shortlisted")
- Errors — rows missing Company or Role (these will be skipped)
A preview table shows the first 5 rows with your mapped data so you can verify everything looks right.
Smart value normalisation: You don't need to reformat your data. Kandid.pro understands common synonyms:
- Status: "Applied", "Submitted", "Sent" all map to Applied. "Interview", "Interviewing", "In Progress" map to Shortlisted. "Offer", "Accepted" map to Hired. "No Response" maps to Ghosted.
- Employment Type: "Full Time", "FT", "Permanent" all map to Full Time. "Contract", "Contractor" both work.
- Work Arrangement: "WFH", "Work From Home" map to Remote. "On Site", "In Office" map to Office.
- Priority: "H", "1", "Urgent" all map to High. "Normal" maps to Medium.
- Job Source: "LI", "Linked In" map to LinkedIn. "Glassdoor", "Seek" map to Job Board.
- Dates: Handles ISO (2024-01-15), US (01/15/2024), international (15/01/2024), and natural language ("Jan 15, 2024").
- Salary: Understands currency symbols ($, £, €, ¥), thousands separators, and shorthand like "80k".
- Tags: Comma or semicolon-separated values are split automatically.
Duplicate handling: A checkbox (on by default) lets you skip duplicate applications — any row with the same Company + Role as an existing application will be skipped rather than creating a duplicate.
Step 4: Import
Click Import and Kandid.pro creates all your applications. You'll see a results summary showing how many were imported, skipped, or failed — with specific error details for any rows that couldn't be processed.
Your imported applications appear immediately on the Applications page, ready for you to enrich with job descriptions, run AI matching, and generate tailored documents.
Tips for Best Results
- Add a header row — Kandid.pro uses your first row as column names for auto-detection.
- Don't worry about exact naming — "Company Name", "Employer", and "Organization" all work. The auto-detection is flexible.
- Keep status values simple — "Applied", "Interviewing", "Rejected" etc. are automatically understood. No need to match Kandid.pro's internal codes.
- Salary shorthand works — "80k", "$120,000", "£55k" are all parsed correctly.
- Split large files — If you have more than 500 rows, split your file and import in batches.
