Job Application View — User Guide

The Job Application View is the central hub for managing every aspect of a single job application. It brings together document generation, interview preparation, quality checks, contacts, outcomes, and more — all in one place.


Page Layout Overview

When you open a job application, the page is structured into three main zones:

  1. Header — Company name, role, status, and pipeline controls
  2. Temporal Ribbon — A timeline of all application events
  3. Tab Panel — Tabs covering every aspect of the application

Temporal Ribbon — Your Application Timeline

Directly below the header sits the Temporal Ribbon, a horizontal timeline that gives you an instant visual summary of your entire application history and upcoming milestones.

The ribbon automatically plots:

A "Now" marker shows your current position in the timeline so you can quickly see what is overdue, happening today, and coming up.

Clicking any event on the ribbon navigates you directly to the relevant tab or opens the event detail — making it a fast way to jump to what matters without scrolling through tabs manually.

Tip: Use the Temporal Ribbon as your daily check-in point. Glance at it each time you open an application to see what actions are pending and what milestones have passed.


Header

The header gives you at-a-glance status and quick controls.

Left side:

  • Star icon to mark the application as a favourite
  • Company name (click to go to the Company detail page)
  • Role/position title
  • Status badge showing the current stage

Right side:

  • Profile Selector — Switch which career profile this application is tailored to
  • Status Dropdown — Manually change the application status
  • Pipeline Status Indicator — Shows the current AI processing phase with a progress spinner when a job is running
  • Notes Toggle — Opens/closes a side notes panel
  • Delete — Permanently removes the application

Application Statuses

Click the status badge in the header to change the application status. The available statuses are:

Sub-Status

Sub-status is a customisable label system that adds a secondary layer of detail to an application within its main status. For example, a Shortlisted application might be at "Phone Screen", "Take-home Test", or "Final Round".

Where it appears:

  • Application detail page — in the header, next to the main status badge
  • Applications table — as a badge in the Sub-status column
  • Application cards — displayed alongside the outcome badge

Setting Up Labels

Labels are user-defined and reusable — create them once and they're available across all your applications. Labels are organised per main status, so the labels available for a Shortlisted application are separate from those for an Applied or Rejected application.

To add a label for the first time:

  1. Open any application detail page
  2. In the header, click the + icon next to the status badge
  3. Type your label (e.g. "Phone Screen") and press Enter
  4. The label is saved to your configuration and applied to the application immediately

To add more labels later:

  1. Click the sub-status badge or + button in the application header
  2. A dropdown opens showing existing labels for that status
  3. Type a new label in the input field at the bottom and press Enter

Applying a Sub-Status

  1. Open an application detail page
  2. Click the sub-status control in the header
  3. Select a label from the dropdown

The badge updates immediately. To clear a sub-status, open the dropdown and click Clear sub-status.

Managing Labels

In the sub-status dropdown, click the next to any label to delete it from your configuration. Deleting a label automatically clears it from any applications currently using it.

Filtering by Sub-Status

In the Applications list view, open the Advanced Filters drawer and select a sub-status value to show only applications with that label.

Tabs

Details

A two-column view of the job and company information.

Left — Job Details:

  • Job overview and description
  • Salary range
  • Employment type (Full-time, Part-time, Contract, etc.)
  • Work arrangement (Remote, Hybrid, On-site)
  • Location
  • Link to the original job description

Right — Company Details:

  • Company name (linked to company page)
  • Website
  • ATS system link
  • Industry
  • Company size
  • Headquarters
  • LinkedIn profile

Matching

Shows the results of the AI matching analysis between your career profile and the job description.

Left column:

  • Overall fit assessment card
  • Option to re-run the analysis

Right column:

  • Skill requirements card with a coverage percentage
  • Full job requirements breakdown
  • Identified missing keywords and skills

Insights Button

The Insights button (gold, with a lightbulb icon) unlocks a deeper AI analysis of the role and employer. Where the standard matching results tell you how well you fit, Insights tells you what the company is really after.

Clicking Insights generates an analysis that covers:

  • The underlying priorities and motivations behind the job description — what the hiring team values most versus what is just standard boilerplate
  • Signals about the company culture, team structure, or growth stage that influence what kind of candidate will succeed
  • The real problems the role is likely being hired to solve
  • Strategic angles you can use to position your application, cover letter, and interview responses more compellingly

Tip: Read the Insights analysis before generating your documents. It gives you the framing to write a cover letter and tailor your Resume around what the employer is genuinely trying to achieve — not just a keyword-matched list of requirements.

Note: Insights data is generated as part of the standard analysis pipeline — no separate action or credits are required. If the button is grey, re-run the analysis to populate it.

Use this tab to understand how well your profile aligns with the role before generating documents.


Documents

A split-pane workspace for viewing, editing, and validating generated documents.

Left panel: Artifact list showing all generated documents:

  • Resume versions
  • Cover Letter versions
  • Interview Prep artifacts
  • Email templates

Right panel: Document viewer, editor, and quality tools

  • View rendered markdown
  • Edit content directly
  • Download as DOCX or PDF
  • Copy artifact to another application

Quality Check

Within the Documents tab you can run a Quality Check on the selected document, this will run a QA and ATS check:

  • Fact accuracy (pass / warning)
  • Quantification coverage (percentage of achievements with numbers)
  • Spelling check
  • British English compliance
  • Template compliance
  • Length check (word count and estimated page count)
  • Improvement recommendations

ATS Score Gauge — A visual 0–100 score

Keyword Analysis:

  • Required keywords: matched count and percentage
  • Preferred keywords: matched count and percentage
  • List of missing keywords

Keyword Density:

  • Actual vs optimal density range
  • Assessment (too low / optimal / too high)

Structure scores: Formatting compliance and section header analysis

Recommendations — Prioritised suggestions (Critical, High, Medium, Low) across keywords, formatting, and structure.

All ATS runs are versioned so you can track score improvements across iterations.


Interviews

A two-column view for managing interview rounds and questions.

Left column — Interview Rounds:

Create and track each stage of the interview process:

  • Round number and name
  • Interview type (Phone Screen, Technical, Coding, System Design, Behavioural, Cultural Fit, Panel, Final)
  • Status (Scheduled, Completed, Rescheduled, Cancelled)
  • Date, time, location, and duration
  • Interviewers (name, role, email, LinkedIn)
  • Prep notes
  • Performance feedback and pass/fail result

Right column — Interview Questions:

Manage questions across three layers:

  1. Application questions — Specific to this application, fully editable
  2. Company questions — Shared across all applications at this company, read-only here
  3. General library — Your global question bank, read-only here

Question categories: Behavioural, Technical, Situational, Company Culture, Role Specific, General

Actions available:

  • Generate questions with AI
  • Copy questions from the company or general library
  • Add custom questions manually
  • Export questions as PDF

Practice Question:

AI-powered preparation materials for your interviews.

Actions:

  • Generate Practice Questions — Creates STAR-method response cards based on your matched activities (AI feature)
  • Regenerate — Creates a fresh set based on updated profile data
  • Practice Mode — Walks you through questions interactively
  • Export PDF — Downloads all prep materials

Content: Each question includes a structured STAR response card:

  • Situation — Context for the story
  • Task — What you were responsible for
  • Action — What you did
  • Result — The outcome

You can edit and save each response, and filter by question category.

Note: Generating Interview Prep is a subscription feature. The remaining credits are displayed next to the generate button.


Contacts

Manage people associated with this application.

For each contact you can record:

  • Name, role, email, phone
  • Relationship type (Recruiter, Hiring Manager, Referrer, Team Member, HR, Employee, Other)
  • Last contact date
  • Notes

Interaction log: Track every call, email, or message with date, type, subject, and notes.

Use this tab to maintain a clear record of who you have spoken to and when, so you never lose track of a relationship.


Events

Calendar events linked to this specific application.

  • Create events with type, date, time, and notes
  • Event types include: Interview, Follow-up, Reminder, Deadline, Meeting, Call, Email
  • Events sync with the unified calendar
  • Filter events by type

Outcomes

Post-application analysis and learnings (used after a decision has been made).

Outcome Summary:

  • Outcome type: Rejected, Accepted, Declined, Withdrawn
  • Rejection reason if known (No Response, Screening, Technical, Cultural Fit, Salary, Location, Other)
  • Feedback received

Identified Gaps:

  • Description of the gap
  • Category (Technical Skills, Domain Knowledge, Communication, Experience, Other)
  • Action taken checkbox
  • Additional notes

Learnings:

  • Description of what you learned
  • Category (Technical, Interview Skills, Job Search, Self-awareness, Other)
  • Apply to Profile — Sends the learning back to your career profile to improve future applications

Real-Time Updates

The application view maintains a live connection to the backend. When any background job completes or fails:

  • The page automatically refreshes the relevant data
  • A toast notification appears confirming success or showing the error
  • Your subscription credits are updated if an AI feature was used

If the live connection is unavailable, a warning banner appears and the page falls back to periodic polling.


Quick Reference — Common Workflows

Starting fresh with a new application

  1. Open the application — it starts in Draft status
  2. Add the job description URL in the Details tab
  3. Trigger the AI pipeline to Analyse the job description — this runs Phases 1 and 2
  4. Review matching results in the Matching tab
  5. Generate your Resume and Cover Letter via the AI pipeline controls
  6. Review and edit documents in the Documents tab
  7. Run QA then ATS checks (both within the Documents tab) to validate and optimise
  8. Update the status to Applied once you submit

Preparing for an interview

  1. Open the Interviews tab and create a new interview round
  2. Go to the Interview Prep tab and click Generate Interview Prep
  3. Review and edit STAR responses
  4. Use Practice Mode to rehearse
  5. Export prep materials as PDF

Recording an outcome

  1. Update the status to Rejected, Hired, or Ghosted as appropriate
  2. Open the Outcomes tab
  3. Record the outcome type, feedback, and any identified gaps
  4. Add learnings and use Apply to Profile to feed insights back to your career profile

Reviewing your timeline

  1. Look at the Temporal Ribbon at the top of the page at any time
  2. Click any event to jump directly to the relevant tab or detail
  3. Use the "Now" marker to orient yourself — events to the left are past, to the right are upcoming
