User Guide: AI Application Tailoring
This guide explains the benefits and usage of Kandid.pro's core AI-powered application tailoring feature.
The Benefit: Why Tailor Your Application?
In a competitive job market, a generic Resume is rarely effective. Recruiters and hiring managers look for candidates whose experience directly addresses the specific needs of the role. Tailoring your application:
- Beats Applicant Tracking Systems (ATS): Most companies use ATS software to filter candidates. Our AI optimises your documents to ensure they contain the right keywords and formatting to pass these automated checks.
- Saves You Dozens of Hours: Manually tailoring a Resume and cover letter for every application is incredibly time-consuming. Kandid.pro automates this process, turning hours of work into minutes.
- Speaks the Employer's Language: The AI analyses the job description to understand the employer's strategic goals and rewrites your experience to align with them, making you a much more compelling candidate.
- Prepares You for the Interview: The process doesn't just stop at the application. By generating likely interview questions and STAR-formatted answers based on your experience, the platform prepares you to win the interview.
- Communicates Professionally at Every Stage: From the initial introduction through to offer acceptance, the AI drafts context-aware, professionally written emails for every key moment in your application journey.
How to Use the AI-Powered Workflow
The application tailoring process is a guided, multi-phase workflow. Here's how to use it from start to finish.
Step 1: Create a Job Application & Analyse the Job Description (JD)
First, get the job you're targeting into the system.
- Add a New Application: Use the browser extension to automatically capture the job details from a website, or manually create a new application and paste in the job description text.
- Trigger the Analysis: Start the "Analyse" process for the application.
- What's happening? The AI reads the entire job description and extracts the key requirements, skills, and strategic objectives. It determines what the employer is really looking for.
- Review the Analysis: Once complete, you can view the AI's breakdown of the role.
Step 2: Review Your Match Score
Before generating documents, see how you stack up.
- Trigger the Match Process: Run the "Match" process on the application.
- What's happening? The AI compares the analysed job requirements against your saved Career Profile. It identifies where your experience is a strong match, a partial match, or where there are gaps.
- Check Your Score: Review the "Match Score" and the coverage analysis. This shows you which of your skills and experiences are most relevant and what you should emphasise.
Step 3: Generate Your Resume and Cover Letter
This is where the AI does the heavy lifting.
- Trigger the Generation Process: Run the "Generate" process.
- What's happening? The AI uses the job analysis and your matched experience to write a brand new, tailored Resume and Cover Letter in Markdown format. It selects the most relevant narrative blocks from your Career Profile and rewrites them to align with the job.
- Review the Drafts: Once generated, open the documents.
- Look for
[MISSING]tags: If the AI identifies a critical requirement that you don't have experience for, it will "proactively heal" the gap by writing a draft bullet point with a placeholder like[MISSING: provide specific example here]. This gives you a "to-do" list to further strengthen your Resume. - Make Edits: The documents are in Markdown, so you can easily edit, add, or remove content.
- Look for
Step 4: Run Quality Checks
Polish your documents with a single AI-powered quality check that runs QA and ATS analysis simultaneously.
- Click "Run Quality Checks": Open your generated document and click the gold sparkle (✨) icon in the document toolbar.
- What's happening? Two AI models run in parallel:
- QA: Scans the document for factual consistency against your Career Profile and corrects language to a professional standard (e.g., British English).
- ATS: Simulates a real Applicant Tracking System, scoring your Resume on keyword density, formatting, and readability.
- What's happening? Two AI models run in parallel:
- Review the Results: Once complete, the results panel opens with two tabs:
- QA Tab: Shows an overall pass/warning/fail status, fact accuracy issues, spelling and language checks, and recommendations.
- ATS Tab: Shows your ATS score (out of 100), keyword coverage (required vs. preferred), formatting score, and actionable suggestions.
- Iterate: Make the suggested changes to your document and re-run the checks until you are satisfied with the score. Each run is saved so you can compare results over time.
Step 5: Prepare for the Interview
Once your application is sent, use the AI features to get ready for each stage of the process.
Practice Questions and STAR Answers
- Generate Practice Questions: Open the application → Interviews tab → Practice Questions sub-tab, then click Generate Practice Questions.
- What's happening? The AI analyses the job description and your tailored Resume to create a list of likely interview questions (behavioural, technical, strategic).
- Study Your STAR Answers: For each question, the AI provides a personalised answer in the STAR (Situation, Task, Action, Result) format, pulling directly from the achievements in your Career Profile. This ensures your interview answers are consistent, compelling, and data-driven.
Round-Specific Prep Notes
For each scheduled interview round, you can generate targeted preparation notes tailored to that specific round.
- Add your interview round: In the Interviews tab left column, click + to add a round. Include the round type, date, and any known interviewers.
- Generate prep notes: Click the gold Prep (sparkle) button on the round tile.
- What's happening? The AI analyses the round type, each interviewer's career background (pulled from their Contact profile), the job description, and your selected Career Profile type to produce:
- A background summary and likely focus areas for each interviewer
- Personalised talking points and questions to ask each interviewer
- An overall preparation strategy with key themes and recommended activities
- What's happening? The AI analyses the round type, each interviewer's career background (pulled from their Contact profile), the job description, and your selected Career Profile type to produce:
- Export: Click the Export button on the tile to download the prep notes as a PDF for offline review.
Tip: Import interviewers' career history via LinkedIn and the Chrome Extension before generating prep notes. The AI uses their professional background to tailor its advice — an interviewer with an engineering background will probe differently than one from a commercial or people function.
Step 6: Draft Professional Emails at Every Stage
Throughout your application journey, the AI can write context-aware, professional emails for every key interaction. You don't need to stare at a blank screen wondering what to write.
-
Open the Email Drafting Tool: Navigate to your application and click the "Draft Email" button (the gold AI button).
-
Select the Email Type: Choose the type of email you need from five options:
Email Type When to Use Introduction Cold outreach to introduce yourself and express interest in the role or company Follow-Up Politely re-affirm your interest after applying with no response Interview Acceptance Confirm your interview date and time whilst expressing enthusiasm Post-Interview Thank You Send a thank-you note that references topics discussed in the interview Offer Acceptance Formally and enthusiastically confirm your acceptance of a job offer -
Generate the Draft: Click the AI button to generate. The email is written in the background, so you can continue working whilst it processes.
- What's happening? The AI uses the job details, company, role, your application status, and any notes you've added to write a personalised, professional email appropriate for the selected stage.
-
Review and Refine: Once generated, the draft appears in the Application Materials tab. Click to open the Email Viewer, where you can:
- Read the generated subject line and body
- Edit any part of the email directly
- Copy the subject and body to your clipboard with a single click
- Click "Open in Email Client" to launch your email application with the subject and body pre-filled
-
Send and Move On: Send the email from your own email client. The draft is automatically saved to your application record for future reference.
